Patient payment plans for clinics and dental

Offer patients a payment plan without a lender.

Paycove runs the plan as your practice's own, with no credit check and no interest. Each payment is charged on its date and paid into your own account and books, for one practice or several.

Sound familiar?

The lender declined the patient.

They said yes to the treatment plan. Then the financing wasn't approved.

Our in-house plans live in a spreadsheet.

Someone checks it each month to see who is due.

The front desk runs the cards by hand.

If they're busy or out, the payments wait.

A card declined and nobody noticed.

The missed payment shows up at month end, when it's harder to collect.

Card fees come off every payment.

About 2.9% of every card payment goes to the processor, on a plan that may run for a year.

Every practice's money lands in one account.

With more than one location, someone splits the payout by hand and moves it to the right books.

Patient financing or your own plan.

Both let a patient pay over time. They differ on who says yes, when you're paid and who carries the balance.

A patient financing lender

The patient applies, and the lender approves or declines them. The lender generally pays you up front, and the patient repays the lender on the lender's terms.

Your own payment plan

You decide who gets a plan. No credit check, no interest. The trade-off: you're paid as the patient pays, not up front, and a missed payment is yours to follow up.

Charged on schedule, off the front desk's list.

Set the deposit and schedule once. Each payment is charged on its date to the card or bank account the patient saved at checkout. When a payment fails, your admins get an email, and the patient can pay by bank transfer from the same page.

  • A deposit as a flat amount or a percent
  • Weekly, every two weeks, monthly or custom intervals
  • Email reminders before or after each due date
  • Failed-payment alerts and a daily summary for admins
  • A card surcharge where your state allows it, with no card fee on a bank transfer
  • Charge now, split, merge, recalculate or refund mid-plan

One practice, or a group where each keeps its own books.

A single practice runs on one account. A group can run every location as a template in one Paycove account, or give each its own account under a parent. Either way, each location pays out to its own Stripe account and posts to its own QuickBooks Online or Xero file.

  • Its own Stripe account per location or entity
  • Its own QuickBooks Online or Xero file
  • Rules that route each deal to the right location's template

Is your own plan lending?

It can be. Under the federal Truth in Lending rules, a business is a creditor if it regularly extends consumer credit with a finance charge, or payable by written agreement in more than four installments, not counting the down payment. Regularly means more than 25 times in the last calendar year (12 CFR 1026.2(a)(17)). A plan with no interest and four or fewer payments after the deposit generally stays outside that test. More payments, or a finance charge, can bring it in. In-house financing, explained.

Your state and your profession's regulators may add their own rules. Check them with counsel before you launch a plan. This is general information, not legal advice.

Questions.

Is Paycove patient financing?

No. Paycove isn't a lender and doesn't make loans. It runs payment plans your practice offers itself. The patient pays you over time, with no credit check and no interest. If you want a lender to pay you up front, that's a financing program, not Paycove.

We're one practice. Does this still fit?

Yes. A single practice runs on one Paycove account with one Stripe account and one set of books. Nothing about it needs a second location. See pricing.

Does it connect to our practice management software?

No. Paycove starts from a deal in HubSpot or Pipedrive, a quote or invoice, a plan builder on your website, or our API. It doesn't read from or write to practice management or patient record systems.

Does it bill insurance?

No. The plan covers whatever balance you put on it, usually the patient's portion. If that amount changes, you can edit the schedule or recalculate what's left.

Is Paycove HIPAA compliant?

We don't make that claim on this site. Paycove handles billing, not clinical records, so keep treatment details out of deal names, invoice lines and plan names, and ask us about your setup on the call.

What happens when a patient misses a payment?

Your admins get an email when a scheduled payment fails, and the patient can pay by bank transfer from the same page. Plan payments aren't retried automatically. You can charge the payment now, split it, recalculate the rest or mark it paid if they pay another way.

Can we add a fee for card payments?

Where your state allows it. You set a card surcharge per payment method as a percentage, a flat amount or both. Bank transfer sits beside card, with no card fee on a bank transfer.

Is this for hospitals or health systems?

No. It's built for private practices and clinic groups, not for institutions that buy through procurement.
