E-signature and documents

Contracts signed from the deal, then paid.

Build the contract from a template, with the parties, price and payment schedule filled in from the deal. Each signer confirms their email and signs, and can continue straight to the payment. What they signed is what gets charged.

When the contract and the payment live apart.

The contract is in one tool and the payment in another.

Someone has to notice it was signed and then send the invoice.

The schedule gets typed twice.

The dates in the contract and the dates on the plan don't always match.

Who signed which version?

A revised contract leaves two copies in circulation.

The countersignature gets forgotten.

The customer signed days ago, and it's sitting in someone's queue.

The signed copy is somewhere in an inbox.

When a question comes up, nobody can find it quickly.

Each location has its own wording.

The right terms depend on someone picking the right file.

Filled in from the deal, in your words.

A document template pulls from the deal, so the rep isn't retyping a price or a schedule. The wording is yours, and we suggest having your counsel review it.

  • Merge fields from the deal, contact, organization and line items
  • The exact payment schedule, as a table and a summary
  • A template per location or per entity account
  • Sending freezes the copy and records its hash
  • Revising voids the original, so only one version stands
  • A signing page with the account's logo and accent color

Signed, countersigned and on record.

Each signer gets their own link. Once they've signed, they can go straight to the payment.

  • Each signer confirms their email with a one-time code
  • Signers type or draw their signature and tick the consent, which is recorded
  • Roles for signer, payer, co-signer and countersigner
  • Your own team countersigns after the outside signers
  • Continue to payment takes the signer to the deal's checkout when there's a balance
  • Every outside signer is emailed the signed PDF with its signature certificate
  • An append-only audit log, with your copy kept on the document

Each location signs on its own template.

Use a document template per location or per entity account, so the wording, logo and checkout all belong to that location.

Questions.

Are these signatures legally binding?

We don't give legal advice, so ask your counsel about your documents and your state. What Paycove does is record the signer's consent, email verification, time, IP address and device in a signature certificate.

Is the signing status written to my CRM?

Not today. The document and its status stay in Paycove.

How is this different from accepting a quote?

Accepting a quote is one customer typing their name on a hosted quote. Documents are for contracts: several signers, email verification, a countersignature and a signed PDF with a certificate.

Can the customer pay before we countersign?

Yes. The signer can continue to the deposit after signing, and your team countersigns after that.

Is this for schools?

It works for any contract with a payment attached. Career schools can read about enrollment agreements.
