Accounts receivable automation

Accounts receivable automation, from reminder to receipt.

Scheduled payments charge themselves on their date. Customers get reminders, your admins get alerted when a payment fails, and the customer can pay by card or bank transfer from the same page.

When collecting depends on someone remembering.

Someone runs the cards each morning.

If they're out, payments wait.

A card declined last week and nobody noticed.

The missed payment turns up at month end, when it's harder to collect.

Reminders go out when someone has time.

The customer forgets, and the first they hear is a late notice.

A customer asks to change their dates.

The schedule gets rebuilt by hand, and the balance goes stale.

Sales can't see who has paid.

They ask finance, or they check a spreadsheet that's already out of date.

Every location chases differently.

Nobody can see across them what's overdue.

Charged on the date, with reminders around it.

Set the rules once. Each morning's payments run, and your admins hear what happened.

  • Scheduled payments charged automatically to the saved card or bank account
  • Email reminders any number of days before or after the due date
  • A receipt to the customer for every payment
  • A daily email to admins listing the payments due, and another with the results
  • Admins notified when a scheduled payment fails
  • ACH beside card, so a declined payment can be paid by bank transfer
  • Filter deals by status, including overdue

Change the plan when life changes.

When a customer's situation changes, you adjust the plan you have. Nobody has to rebuild it.

  • Mark a payment paid in full, partly paid or overpaid, or mark it unpaid
  • Split one payment into several, or merge payments together
  • Charge a payment now, ahead of its date
  • Recalculate what's left across the remaining payments
  • Refund a payment
  • Change a date or an amount by editing the schedule
  • The remaining balance can be written back to the HubSpot deal

Every location runs the same rules.

Set up one location's templates, copy them for the next, and each still pays into its own Stripe account and books.

Questions.

What is accounts receivable automation?

It's software that handles the routine work of getting paid: charging, reminding, recording and flagging what's late. Paycove does it for invoices and payment plans, starting from the deal in your CRM.

What happens when a payment fails?

Your admins are notified, and the payment stays open on the plan. The customer can pay it by card or bank transfer from the same payment page.

Are declined payments retried?

Scheduled plan payments are not retried automatically, so your admins get the alert and can follow up. Subscriptions do retry a declined card automatically.

Can a customer pause or skip a payment?

There's no pause or skip button. You can change a date or an amount by editing the schedule, split or merge payments, or recalculate what's left.

Is this debt collection software?

No. It runs your own billing with your own customers, and the reminders carry your name.

Can sales see the payment status?

Yes. Payment events post to the deal timeline, and the remaining balance can be written back to the HubSpot deal. More on Paycove for HubSpot.
