From the CRM deal to QuickBooks or Xero, one file per location.
Paycove posts invoices and payments from your CRM deals to QuickBooks Online or Xero. Each location can connect its own file, so nobody re-keys a deal or moves a payment to the right entity by hand.
When the books are a second data entry job.
Every deal gets typed in twice.
Once in the CRM, and again in QuickBooks.
One payout, several entities.
Someone splits the money by hand and moves it to the right books.
The CRM and the books disagree.
Sales says paid, and the accounting file says open.
A new location means a new process.
Another file, and another spreadsheet to keep them in line.
Sync errors surface at month end.
By then, nobody remembers what the entry was.
The card fee is buried.
It's hard to see what came in as a fee and what came in as revenue.
What lands in your books.
Paycove writes the records your bookkeeper would otherwise type, using the products you already have.
- Invoices created and updated, automatically or by hand
- Payments posted against their invoice
- Customers matched or created
- Invoice lines matched to your QuickBooks products or Xero items
- The recovered card fee shows as a fee in your books
- Products and contacts can be imported from your accounting file
One file per location, and a way to see problems.
A template can use its own accounting connection, so each location or entity posts to its own file.
- A QuickBooks Online or Xero connection per template, or one per entity account
- An accounting status on each invoice
- Admins emailed and notified in the app when a payment fails to sync
- Sync one invoice or payment by hand, or a whole selection in bulk
Each location keeps its own books.
Each template connects its own accounting file and its own Stripe account, so a location's invoices and payments stay in its own records.
Questions.
What does a CRM QuickBooks integration do?
It moves deals, customers, invoices and payments from your CRM to QuickBooks so nobody types them twice. Paycove sits in the middle: it builds the invoice from the deal, takes the payment and posts both. The HubSpot and QuickBooks integration guide covers the options.
Which accounting systems does it work with?
QuickBooks Online and Xero.
Can each location have its own QuickBooks file?
Yes. Connect a file per template in one Paycove account, or one per entity account under a parent. QuickBooks classes and Xero tracking explains the alternative of one shared file.
Which way does the sync run?
Invoices and payments go from Paycove to your accounting file, and customers and products can come in from it. Record payments in Paycove so the plan and the books agree.
What happens if a sync fails?
Your admins are emailed and notified in the app, and the invoice shows its accounting status. You can sync it again by hand.
