Enrollment agreement software

Enrollment agreement software for career schools.

The agreement is built from the enrollment deal in HubSpot or Pipedrive, with the program, the price and the payment schedule filled in. The student confirms their email, signs, and continues to the deposit. What they signed is what gets charged.

Sound familiar?

The schedule on the agreement doesn't match the plan.

Admissions typed it into the signing tool. The business office typed it again into the plan.

Which version did the student sign?

The start date moved, someone edited the document, and there are two PDFs with the same name.

The signed agreement lives in one tool and the plan in another.

A dispute means opening both and hoping the numbers agree.

Someone forwarded the signing link.

A link on its own doesn't say who signed.

Every campus has its own agreement.

Its own name, its own refund terms, its own countersigner.

Nothing is countersigned until someone remembers.

The student signed on Monday. The school signed at the site visit.

E-signature, from the enrollment deal to the signed agreement.

The plan is built first, so the agreement carries the real schedule.

  1. Start from your template

An Enrollment and Payment Agreement starter you edit into your school's wording: the sections your state and accreditor ask for, your refund policy, your consent text.

  2. Send it from the deal

The parties, the program, the price and the payment schedule fill in from the deal and the plan. Sending freezes the copy, and each signer gets their own link.

  3. Signed, countersigned, kept

The student confirms their email with a one-time code, signs by typing or drawing, and continues to the deposit. Your official countersigns, and the signed PDF stays on the record.

The schedule the student signs is the schedule that runs.

The agreement is generated from the same deal as the plan, so there is one copy of the numbers.

  • The parties from the deal's contact and your account
  • The program and price from the deal's line items
  • The payment schedule as a table: the deposit, then every payment with its date and amount
  • A card-fee line where your state allows a surcharge, and bank transfer beside it with none
  • Your refund and cancellation policy, in your words
  • A signature line per role: payer, student, co-signer, and your countersignature

A record that answers the question.

Who signed, when, from where, and what exactly they agreed to.

  • Sending freezes the copy. What the student sees can't change, and its hash is recorded
  • Each signer confirms their email with a one-time code before signing, so a forwarded link isn't enough
  • The consent they tick is recorded with the signature, including consent to electronic records and signatures
  • The signed PDF ends with a signature certificate: each signer's name, email, role, verification, time, IP and device, and the event log
  • Every signer gets the signed copy by email and can download it from the signing page; your copy stays on the document in Paycove
  • To change anything, revise. The new version replaces the old, and the original is voided on the record

Questions.

Is this an enrollment agreement template for my state?

No. The starter gives you the structure: parties, program and price, the payment schedule, a card-fee line, a refund section and the signature lines. The wording is your school's, checked against your state agency's and accreditor's checklist and reviewed by your counsel. What a career school enrollment agreement must include lists what those checklists ask for.

Can the student sign the agreement and pay the deposit on one link?

Yes. Once the student has signed, the same page offers Continue to payment, which opens the deal's checkout for the deposit, by card or bank transfer.

Who can sign?

The roles on a template are payer, student, co-signer, a general signer, and your countersigner. Each external signer gets their own link and confirms their own email. Your countersigner signs from the document's page in Paycove, after the others.

Is an electronically signed agreement valid?

Under the federal E-SIGN Act a signature can't be denied legal effect solely because it is electronic, and a consumer has to consent to electronic records first. Paycove records that consent, the signer's email verification and the signed copy's hash with every signature. Whether your state agency or accreditor accepts an electronically signed enrollment agreement, and what record they expect to see, is a question for them. Electronic signature explains what the law says.

We have several campuses. Does each get its own agreement?

Yes. In one Paycove account, keep a template per campus and pick it when the document is created. With a separate account per entity under a parent, each entity has its own templates, its own logo on the signing page, and is countersigned by its own team. Multi-entity billing.

Does this replace our e-signature tool?

For agreements and contracts tied to a deal, yes, and it is included for every account. Quotes already carry e-signature and a custom acceptance flow. It isn't a general document tool for paperwork that has nothing to do with a deal.

Do you work with colleges and universities?

No. Paycove is built for career, trade and vocational schools that enroll students into programs and bill tuition on payment plans. For schools.

Built for career, trade and vocational schools collecting $100K a month or more.
