Closed won: what the deal stage means in HubSpot and Pipedrive

The stage a deal moves to when the customer says yes. It records the sale. It doesn't collect the money.

In brief

Closed won is the deal stage a CRM uses for a deal the customer has agreed to. In HubSpot's default sales pipeline it carries a 100% deal probability and counts as Won, and HubSpot sets the close date to today when a deal moves into it. Pipedrive marks a deal Won instead of moving it to a stage, and the deal leaves the active pipeline view. Closed won records the sale, not the payment. Collecting the deposit and the balance, and posting them to the right books, happens after it.

What does closed won mean?

It means the customer agreed to buy. A deal moves through stages in a pipeline, from first contact to a proposal sent. Closed won is the last stage on the winning side, and closed lost is its opposite. For a business that sells a $14,800 program, closed won is the day Jordan Reyes says yes. It is also the moment the money side has to start, because nothing has been collected yet.

How does HubSpot treat closed won?

HubSpot's default sales pipeline ends in two closed stages: Closed won, with a 100% deal probability marked Won, and Closed lost, at 0% marked Lost. HubSpot's pipeline settings say reports need both a Won and a Lost stage defined under deal probability. A pipeline can have more than one won stage.

Three things happen when a deal reaches a closed won stage, according to HubSpot's deal properties article:

  • Is Closed Won becomes true. HubSpot sets it automatically.
  • Close date is set to today's date. It doesn't change when a deal moves between two won stages. You can turn this off in the pipeline settings.
  • Closed won reason is available to record why the deal was won.

How does Pipedrive treat a won deal?

Pipedrive marks the deal's outcome rather than moving it into a stage. Its pipeline help says that when a deal reaches an outcome you mark it Won or Lost. Closed deals are removed from the active pipeline view, and you find them again by filtering for won or lost deals. In Pipedrive's forecast view, a won deal is counted on its won date instead of its expected close date.

Is closed won the same as paid?

No. Closed won is a sales event. Payment is a finance event, and on a high-ticket sale it may be months of events: a deposit, then a schedule of payments. Between the two sit the quote, the invoice, the collection and the posting to the books. A won deal with no deposit collected is still a balance in accounts receivable, or a promise not yet billed.

What should happen after a deal is closed won?

In most businesses that sell on a schedule, these steps follow:

  1. The customer signs whatever agreement the sale needs.
  2. A deposit is invoiced and paid. See deposit invoice.
  3. The balance is set up as a payment schedule, charged on its dates.
  4. Each payment lands in the account of the location or entity that made the sale.
  5. The CRM shows what has been paid and what is left, so the rep and the finance team see the same number.

The longer the gap between closed won and step 2, the more deals sit "won" with nothing collected. The walk-throughs for HubSpot and Pipedrive show the deposit-then-balance pattern on a real deal.
