CRM with invoicing: which CRMs bill from the deal, and what each one collects

Invoicing in the CRM can mean a document, a payment or an entry in the books. What HubSpot, Pipedrive, Salesforce, Zoho CRM, monday CRM and Keap each do, from their own docs.

In brief

Several CRMs create invoices from a deal. HubSpot invoices are on every plan and collect through HubSpot payments or Stripe. Pipedrive's invoicing feature creates a QuickBooks invoice from the deal. Salesforce bills through Revenue Cloud Billing. Zoho CRM creates Zoho Books invoices through its Zoho Finance module. monday CRM makes quote and invoice documents, and Keap sends invoices and quotes on its Pro and Max plans. Check three things in each: whether it only makes the document, whether it collects the payment, and whether the payment reaches your books.

Checked against each vendor's own help pages and product pages on 22 October 2026. These tools change often, so the changelog at the end records each update.

What does "CRM with invoicing" actually mean?

Three different jobs get called invoicing, and a CRM may do one, two or all three:

  1. The document. A PDF or a hosted page with the line items, totals and terms, filled from the deal.
  2. Collecting the money. A pay button that charges a card or bank account through a payment processor, and records the payment.
  3. The books. The invoice and its payment reach your accounting system, so nobody types them in again.

A CRM that only makes the document still leaves someone to chase the payment and post it. Ask which of the three a CRM does before you compare prices.

Which CRMs have invoicing built in?

From each vendor's own pages:

CRM The document Collects payment Reaches the books
HubSpot Invoices on every plan With HubSpot payments or Stripe QuickBooks Online app
Pipedrive A QuickBooks invoice from the deal Not described Created in QuickBooks
Salesforce Revenue Cloud Billing Cards and bank accounts Its own journal entries
Zoho CRM Zoho Books or Zoho Invoice invoices Through Zoho Books' gateways Zoho Books
monday CRM Quote and invoice PDFs A payment button linking out Not described
Keap Invoices and quotes on Pro and Max Keap Pay, Stripe, PayPal or Eway Not described

"Not described" means the vendor's own page doesn't say. The sections below give the detail and the source for each row.

How does invoicing work in HubSpot?

HubSpot's invoices are available on all products and plans. On a deal, you can choose Convert deal to invoice, which uses the deal's information and line items. Deals with recurring line items offer Convert deal to subscription instead. (HubSpot: create and manage invoices)

To take payment online, you set up HubSpot payments, on a Starter, Professional or Enterprise plan, or connect Stripe. Without either, you can still record a payment against the invoice by hand. HubSpot invoicing and quotes covers quotes, templates and the QuickBooks sync, and HubSpot subscriptions covers recurring billing.

Does Pipedrive have invoicing?

Yes, as a feature included in all Pipedrive plans, though the accounting app it connects to may cost extra. You create the invoice from the deal's detail view, with the deal, person and organization details filled in, and its status updates on the deal. QuickBooks is the integration Pipedrive's article names. (Pipedrive: invoicing feature)

The article doesn't describe Pipedrive charging the customer. Pipedrive invoicing covers what it can and can't collect, and the Pipedrive Xero integration covers Xero, which connects through Marketplace apps.

Does Salesforce have invoicing?

Through Revenue Cloud Billing, a separate product from the core CRM. Salesforce's product page says it creates and updates invoices on any schedule, traced back to the quote and order, applies payments to invoices, and follows up on overdue accounts. Pricing is on request. (Salesforce: Revenue Cloud Billing)

Salesforce's Trailhead module, which uses the name Agentforce Revenue Management, describes the path: an approved quote becomes an order, the order's billing schedules set when and how often to bill, invoices are generated on schedule or on demand, and payment by card or bank account is supported. Billing creates journal entries as invoices are issued and payments collected. (Trailhead: billing in Revenue Cloud)

Does Zoho CRM have invoicing?

Two kinds, and they don't talk to each other. Zoho CRM has its own native Invoices module. It also connects to Zoho Books and Zoho Invoice through the Zoho Finance Suite integration, on the Professional and Enterprise editions, which adds Books invoices, estimates and sales orders inside the CRM. Zoho says there is no sync between the CRM's native modules and the Finance Suite's modules. (Zoho CRM: Zoho Finance Suite integration)

With Zoho Books connected, an invoice can be created in Books when a deal is won and voided when the deal is lost. (Zoho Books: Zoho CRM integration) Zoho Books takes online payment through a payment link on the invoice, with gateways including Zoho Payments, Stripe, Square, PayPal and Authorize.net. (Zoho Books: online payments)

Does monday CRM have invoicing?

Yes. Quotes & Invoices is built into monday CRM's Basic, Standard, Pro and Ultimate plans, with a monthly number of documents set by your plan. A document pulls the contact from your contacts board and the products from a catalog board, can carry discounts, taxes and fees, and downloads as a PDF to send. (monday.com: the new Quotes & Invoices)

For payment, the invoice can carry a payment button that links to your preferred payment platform. So in monday CRM, the invoice is the document, and collecting it happens elsewhere.

Does Keap have invoicing and payments?

Yes. Keap's features page says recurring payments, quotes and invoicing are available on Keap Pro and Keap Max, and customers can pay directly from a quote. Payments run through Keap Pay, Keap's own embedded payments, or through Stripe, PayPal or Eway. Invoice payments carry the processor's transaction fee. (Keap: invoices and payments)

What is a CRM with payment processing?

It is a CRM whose invoice or quote can charge the customer, not just ask them to pay. In the table above, that's HubSpot with HubSpot payments or Stripe, Salesforce with Revenue Cloud Billing, Zoho CRM through Zoho Books' gateways, and Keap with Keap Pay or a connected processor.

Payment processing in the CRM answers "can the customer pay this invoice?" It doesn't always answer two follow-up questions:

  • Can it charge the next payment by itself? A recurring subscription charges the same amount on a cycle. A deposit followed by a schedule of different amounts is a different job.
  • Whose account does the money land in? Check how many processor accounts the CRM can connect. HubSpot connects one Stripe account per HubSpot account, shared by every brand. (HubSpot: connect Stripe)

What should a multi-location business ask?

A group that runs Denver, Phoenix and Portland as three companies needs each one's invoices paid into its own account. Stripe associates each account with the tax ID and legal entity of one business, so separate legal entities need separate Stripe accounts. (Stripe: multiple separate accounts) Ask:

  • Can each location's invoice carry its own name, numbering and terms?
  • Can each location's payments go to its own processor account and bank?
  • Does each location's invoice reach its own QuickBooks or Xero file?
  • Does the deal pick the location's setup by a field, or does the rep choose?

Several Stripe accounts in one HubSpot portal walks through the options in HubSpot.

What should a business that sells on payment plans ask?

A $14,800 program sold as $1,500 today and the rest over twelve months is one invoice, a deposit and a schedule. Ask:

  • Can the invoice take a deposit that's different from the payments after it?
  • Does it charge each payment on its date, without someone sending a new link?
  • Can you change a date or an amount once the plan has started?
  • Does the deal show what's paid and what's left?

How to offer payment plans to customers covers setting the plan up, and changing a payment plan after it starts covers the changes.
