HubSpot invoicing and quotes: how they work from a deal

Invoices are on every HubSpot plan. Quotes, templates and e-signatures need Revenue Hub. What each does from the deal, and where payment comes in.

In brief

HubSpot invoices are on every HubSpot plan. You create one from a deal with Convert deal to invoice, add line items, discounts and terms, and collect online through HubSpot payments or a connected Stripe account. Quotes need Revenue Hub Professional or Enterprise and a Revenue Hub seat. They use templates, can be e-signed through Dropbox Sign within a monthly limit per user, and can take payment after signing. One-time items on an accepted quote that also has recurring items become a separate invoice.

Checked against HubSpot's knowledge base on 21 October 2026. HubSpot changes these tools often, so the changelog at the end records each update.

Does HubSpot have an invoice generator?

Two things go by that name. HubSpot's free invoice template generator is a downloadable blank invoice in Excel or PDF, which you fill in and send yourself. (HubSpot: free invoice generator) This post is about the other one: invoices and quotes created inside your HubSpot portal, from the deal.

Can you create invoices in HubSpot?

Yes. HubSpot's invoices tool is available on all products and plans, with some features needing more subscriptions. You need Super Admin or create invoice permissions. (HubSpot: create and manage invoices)

An invoice can be one-time or recurring. You can start one in four places:

  • The invoices index, under Revenue, then Invoices.
  • A record. Contact, company, deal and ticket records each have an Invoices section.
  • A published quote, with Convert to invoice.
  • A workflow. The Convert to invoice action creates draft invoices from deals or quotes with recurring line items.

How do you create a HubSpot invoice from a deal?

On the deal record, the Invoices section offers Convert deal to invoice or Create blank invoice. You can save the invoice as a draft and finish it later.

What can a HubSpot invoice include?

From HubSpot's article:

  • Line items from your product library, or custom ones.
  • Discounts, fees and taxes, one-time or from your library. Automated sales tax needs Revenue Hub Professional or Enterprise, and can't be combined with one-time discounts, fees or taxes.
  • Payment terms, which default to your settings and can be changed per invoice. The due date follows the terms.
  • Partial payment, if you allow the customer to pay less than the balance due.
  • Comments, credit memos, billing and shipping addresses and custom fields.
  • A brand, if you use HubSpot Brands. The invoice takes that brand's look. HubSpot Brands and business units covers what that needs.

Invoice numbers start with INV followed by a sequential number by default.

How do customers pay a HubSpot invoice?

To take payment online, set up HubSpot payments or connect Stripe as the payment processor. You can also charge a payment method the customer has stored, or record a payment by hand when it's paid another way. (HubSpot: create and manage invoices)

A HubSpot account connects one Stripe account, or sets up one instance of HubSpot payments. The HubSpot Stripe integration covers the ways the two connect.

Do HubSpot invoices sync with QuickBooks?

Yes, through HubSpot's QuickBooks Online app, on all plans. HubSpot invoices and QuickBooks invoices sync both ways, though HubSpot's recommended default filter syncs one way, from QuickBooks to HubSpot, for invoices created after you connect. (HubSpot: connect HubSpot and QuickBooks Online)

Three limits to know:

  • With the QuickBooks app installed, tax reaches QuickBooks Online through HubSpot's automated sales tax, which syncs with the invoice. Tax can't be added to the invoice in QuickBooks afterwards, or the invoice stops syncing. (HubSpot: connect HubSpot and QuickBooks Online, last updated 21 July 2026)
  • Card fees turned on in HubSpot's payment settings don't sync to the invoice in QuickBooks.
  • Most non-US QuickBooks Online accounts need tax on synced invoices, so invoice sync doesn't work for them.

The HubSpot QuickBooks integration covers the rest, and the HubSpot Xero integration covers Xero.

Who can use HubSpot quotes?

HubSpot's quotes tool is part of its CPQ and is available in a Revenue Hub Professional or Enterprise account. A Revenue Hub seat is required to create and edit quotes, along with permission to edit or create deals. (HubSpot: create and send quotes)

Accounts without Revenue Hub Professional or Enterprise may have legacy quotes. HubSpot says the legacy tool is no longer available to new users. (HubSpot: create legacy quotes)

How do you create a quote from a deal?

Open the deal and click Add on the Quotes card in the right sidebar. Choose a template if your account has any, then build the quote. The deal's owner becomes the quote's owner, and the quote's currency follows the deal's.

When you share it, the quote moves to Shared. If your account requires approval, it goes to Pending approval first.

How do HubSpot quote templates work?

A quote template sets the layout and pre-filled modules: the cover letter, executive summary, line items, terms, payment options and acceptance method. Templates need Revenue Hub Professional or Enterprise and an assigned core seat, and Super Admin or Manage quote templates permission to create them. (HubSpot: create quote templates)

A template can be assigned to a brand, so quotes for each brand carry its logo and colours. Brands needs Marketing Hub Enterprise.

Can HubSpot quotes be e-signed?

Yes. A quote's acceptance section sets how the buyer accepts it: an e-signature, print and sign, or accepting without a formal signature. E-signature needs at least one buyer on the quote.

HubSpot's e-signatures are powered by Dropbox Sign. Each subscription gives a monthly allowance per user, pooled across the account and reset each month. (HubSpot: use e-signatures with quotes)

Subscription E-signatures per user per month
Revenue Hub Professional 25
Revenue Hub Enterprise 50
Sales Hub Starter 10
Sales Hub Professional 10
Sales Hub Enterprise 30

A quote with several signers counts as one e-signature. Countersigners from your team are emailed once the buyer signs, or can start the signing themselves.

Can a customer pay on a HubSpot quote?

Yes, with HubSpot payments or Stripe set up. Payment options sit on the quote's Payments tab, and the amount due has to be more than $0.50, or the equivalent minimum in the settlement currency. Print and sign quotes can't take online payments. After e-signing, the buyer clicks Set up payment at the top of the quote.

What happens after a quote is accepted?

Without HubSpot's Connected CPQ, Billing and Payments beta, recurring line items create a subscription, and one-time line items alongside them get a separate invoice. With the beta and automatic contract creation on, a contract is created and the first invoice is sent right after acceptance. (HubSpot: create and send quotes)

In that beta, a line item with a future billing date has its payment scheduled for that date. How payment schedules work, and which subscription they need, is in HubSpot's article on the connected CPQ, billing and payments process. HubSpot payment plans on invoices tracks HubSpot's installment option, and taking a deposit and scheduling the balance from a HubSpot deal walks through the setup step by step.

What should you decide before you send the first one?

  • Invoice or quote. Invoices are on every plan. Quotes add templates, e-signature and approvals, on Revenue Hub.
  • Where payment lands. One Stripe account or one HubSpot payments instance per HubSpot account.
  • Which books the invoice reaches. One QuickBooks company, or one per entity.
  • Card fees. Decide where they're recorded, since they don't sync to QuickBooks.
  • Paying over time. Whether the customer pays in full, or a deposit now and the rest on a schedule.
