Pipedrive Xero integration: how deals become Xero invoices

Pipedrive's own invoicing names QuickBooks. For Xero, a Marketplace app turns the deal into an invoice or a quote. Here is what that covers.

In brief

Pipedrive's own invoicing feature names only QuickBooks, so Xero connects through Marketplace apps. The app listed as "Xero" in Pipedrive's Marketplace is built by Cloudify ApS. It creates a Xero invoice or quote from a deal, by hand or when the deal reaches a pipeline stage you choose, and shows the invoice's status on the deal. You pick one Xero organisation when you connect. It doesn't charge the customer, so collecting each payment still needs a payment tool.

Checked against Pipedrive's support center (last updated 3 September 2026), the Pipedrive Marketplace and Xero's app store on 21 October 2026. These apps change, so the changelog at the end records each update.

Does Pipedrive integrate with Xero?

Yes, through apps in the Pipedrive Marketplace rather than a connection Pipedrive builds.

Pipedrive's invoicing article says the invoice feature is included in all plans, names QuickBooks as the accounting tool it connects, and points to other accounting and invoicing integrations in the Marketplace. You need an active paid or trial account with both Pipedrive and the invoicing app, and third-party apps may cost extra. (Pipedrive: invoicing feature)

The app listed as "Xero" in the Marketplace is "by Cloudify ApS". (Pipedrive Marketplace: Xero) Xero's own app store lists the same company's app as "By Cloudify", added in February 2025, and says it connects Xero with either HubSpot or Pipedrive. (Xero App Store: Cloudify) Xero's app store lists other apps that connect Xero with Pipedrive too, so compare what each one writes before you choose.

On price, the Marketplace listing says "Start free with 30 syncs" and links to the developer's subscription plans. It doesn't state a Pipedrive plan requirement.

What does the Pipedrive Xero integration sync?

According to the Marketplace listing for Cloudify's app:

From Pipedrive In Xero Comes back to Pipedrive
A deal An invoice or a quote, with the deal's data The invoice's status: draft, awaiting payment or paid
A pipeline stage you choose The trigger that creates the invoice or quote
Several deals at once A bulk sync from the app's dashboard
Each sync An entry in the deal's activities

The listing describes two ways to create an invoice:

  • Automatically. Set a pipeline stage as the trigger. When a deal lands there, the app creates the invoice or quote in Xero with the deal's data.
  • By hand. Create, update and customize a Xero invoice from any stage of the deal.

A failed sync can be replayed after you fix the deal's data. Xero's listing adds that companies, contacts and products can be created from the deal, and that status updates show in the platform the invoice came from. (Xero App Store: Cloudify)

Setup, from the listing's install steps: allow the app in your Pipedrive company, connect to Xero and sign in, select your organisation and allow access, then choose whether to set up the automation or work by hand.

What doesn't it do?

  • Charge the customer. The app creates the invoice and reports its status. Nothing in either listing charges a card or bank account, on a due date or otherwise.
  • Send payments to the deal. The listings describe the invoice's status coming back. Neither says the payment amounts or a remaining balance reach the deal.
  • Run a plan. There's no schedule of payments against one invoice. Pipedrive invoicing and payment plans covers what installments and recurring products on the deal do and don't do.

Where does a payment plan fit?

A payment plan is a deposit now and the balance on set dates. With an invoicing app alone, that means one Xero invoice paid in parts, or a new invoice for each payment, created by a stage change or by hand.

Either way, something has to charge each payment and record it against the invoice. Xero's own Stripe app lets customers pay Xero invoices online. The Stripe Xero integration covers what it does and how its auto pay works. Taking a deposit and scheduling the balance from a Pipedrive deal covers the plan side.

After the first few payments, check in Xero:

  • Each payment is applied to the right invoice, with the right contact.
  • The invoice's amount due matches what the customer still owes on the plan.

What if each location has its own Xero organisation?

A group that runs each location as its own legal entity often keeps a separate Xero organisation for each. Xero's listing has you "Choose the specific Xero organization you want to integrate, ensuring data flows to the correct business entity." (Xero App Store: Cloudify) Neither listing says whether one Pipedrive company can connect more than one organisation, or route deals between them. Ask the app's developer before you rely on it.

If your locations share one legal entity, one Xero organisation with a tracking category for location may be enough. QuickBooks class vs location, and Xero tracking explains tracking categories, and one LLC per location covers why some groups split into entities.

What should you check before you connect?

  • Which Xero organisation or organisations each deal's invoice should land in, location by location.
  • The trigger. Which pipeline stage creates the invoice, and whether a deal can reach it twice.
  • Invoice or quote. Which one each stage should create in Xero.
  • Contacts and products. Whether the app creates them in Xero or links existing ones, so you don't end up with duplicates.
  • Collecting. How each payment is charged, and how it reaches the invoice in Xero.
  • What your reps see. Whether the status on the deal is enough, or they need the balance too.
  • Reconciling deposits. A Stripe payout is your available balance at the time it's created, so one bank deposit rarely matches one invoice. (Stripe: payouts) Reconciling Stripe payouts per location shows how to match them.

The same questions apply to QuickBooks Online, where Pipedrive builds the app itself. The Pipedrive QuickBooks integration covers that side.
