Pipedrive QuickBooks integration: what it does and what it doesn't

Pipedrive builds the invoice from the deal and shows whether it was paid. Collecting the payment, and which QuickBooks company it lands in, are separate questions.

In brief

Pipedrive builds its own QuickBooks app, and invoicing is included in every Pipedrive plan. You create a QuickBooks Online invoice from the deal's Invoice tab, with the deal's person, organization and products filled in, and the invoice's status (open, paid, partially paid, overdue or voided) shows on the deal. It works with QuickBooks Online only. It doesn't collect payments on a schedule, and product changes don't sync between the two. With several QuickBooks companies, check which one each deal's invoice lands in.

Checked against Pipedrive's support center (both articles last updated 3 September 2026) and the Pipedrive Marketplace listing on 21 October 2026. Pipedrive changes its integrations, so the changelog at the end records each update.

Does Pipedrive integrate with QuickBooks?

Yes, and Pipedrive builds the connection itself. Its Marketplace lists a QuickBooks app "by Pipedrive" that creates invoices from a deal, links contacts and products, pulls invoices from QuickBooks into Pipedrive and shows invoicing totals by contact. (Pipedrive Marketplace: QuickBooks)

Pipedrive's support center sets out the terms:

  • Plans. "The invoice feature in Pipedrive is included in all plans." Third-party apps may cost extra, and you need an active paid or trial account with both Pipedrive and the invoicing app. (Pipedrive: invoicing feature)
  • QuickBooks Online only. "This integration can be set up with QuickBooks Online only." (Pipedrive: QuickBooks integration)
  • Not in France. QuickBooks has not been available in France since 31 December 2023, so the app isn't supported there.
  • Setup. From the account menu, go to Tools and apps, then Invoicing, and click Install next to QuickBooks. You finish in the Marketplace, where you log in to QuickBooks and select a company. (Pipedrive Marketplace: QuickBooks)
  • Who can invoice. A user access setting decides whether only you or all users can create, issue and manage invoices.

How do you create a QuickBooks invoice from a Pipedrive deal?

Open the deal, go to its Invoice tab and click "+ Invoice". The window has three parts: customer details, invoice details and invoice items. (Pipedrive: QuickBooks integration)

On the Pipedrive deal On the QuickBooks invoice
Person and organization The customer, with address, email and tax ID
Products on the deal Invoice items, linked to QuickBooks products
Your defaults in settings Due date, tax rate and income account
The invoice's status Shown back on the deal: open, paid, partially paid, overdue or voided

A few details from the article:

  • Customers. If the contact isn't linked to QuickBooks yet, a warning icon appears. You create a new QuickBooks customer or link an existing one. An option updates the address, email and tax ID on the QuickBooks side.
  • Products. Products on the deal fill in automatically, and you can add more from Pipedrive or search QuickBooks products.
  • Currency. Every invoice needs one, and it has to match the currency saved for that customer in QuickBooks. To bill in more than one currency, turn on multicurrency in QuickBooks and set each customer's currency there first.
  • Sending. You can download a PDF, send the invoice by email from QuickBooks, or copy a public link. The link needs online payments turned on in QuickBooks and an email address on the invoice.

A refresh control in the deal's sidebar pulls the latest status from QuickBooks.

What doesn't the integration do?

  • Collect on a schedule. The invoice asks for the money. Nothing charges a saved card or bank account on a due date. Pipedrive invoicing and payment plans covers what installments and recurring products do and don't do.
  • Keep products in step. Changes to existing products are not synced between Pipedrive and QuickBooks, in either direction.
  • Undo a void. A voided invoice can't be unvoided. Deleting an invoice removes it from both Pipedrive and QuickBooks.
  • QuickBooks Desktop. The article covers QuickBooks Online only.

The status that comes back tells your reps whether the customer paid. Pipedrive's article doesn't describe a remaining balance reaching the deal.

Where does a payment plan fit?

A payment plan is a deposit now and the balance on set dates. With the integration alone, that means one invoice paid in parts by hand, or a separate invoice for each payment that someone creates and sends.

Taking card payments on those invoices is a separate step. Can Pipedrive take credit card payments? covers the options, and taking a deposit and scheduling the balance from a Pipedrive deal walks through a plan built from the deal's fields.

Whatever charges the payments, check in QuickBooks after the first few:

  • Each payment is applied to the right invoice, with the right customer.
  • The invoice's open balance matches what the customer still owes on the plan.

What if each location has its own QuickBooks company?

A group that runs each location as its own legal entity may keep a separate QuickBooks company for each. Intuit's QuickBooks team says each company you add needs its own paid subscription. (QuickBooks Community: multiple companies under one account)

When you install the Pipedrive app, you select a QuickBooks company. Pipedrive's article doesn't cover connecting more than one, or choosing a company deal by deal. Ask Pipedrive how your setup would work before you rely on it.

If your locations share one legal entity, one QuickBooks company with a class or location on each transaction may be enough. QuickBooks class vs location, and Xero tracking explains the difference, and one LLC per location covers why some groups split into entities.

What should you check before you connect?

  • Which QuickBooks company or companies each deal's invoice should land in, location by location.
  • Customers. Link Pipedrive organizations and people to existing QuickBooks customers instead of creating duplicates.
  • Products. Decide which system owns product names and prices, since changes don't sync.
  • Currency. Set each customer's currency in QuickBooks before the first invoice.
  • Who invoices. Set the user access option so the right people can create and void invoices.
  • Collecting. Decide how each payment is charged, and how it reaches the invoice in QuickBooks.
  • Reconciling deposits. A Stripe payout is your available balance at the time it's created, so one bank deposit rarely matches one invoice. (Stripe: payouts) The Stripe QuickBooks integration and reconciling Stripe payouts per location show how to match them.
